The "Digitale Kehrwoche" is an initiative of the state of Baden-Württemberg
It supports companies in creating digital order, increasing data security and establishing long-term sustainable structures.
As a cloud solution from EGOTEC AG, SaaS.de implements the goals of this initiative in practice - with a focus on security, efficiency and sustainable data management.
Why digital organisation and data security are so important
Outdated files, duplicate data records or unused access rights are more than just dead weight: they open up potential security gaps and slow down processes.
Digital organisation, on the other hand, ensures transparency, protects sensitive information and improves system performance.
Data protection and data security take centre stage. SaaS.de fulfils the requirements of ISO 27001 certification - this means tested information security, traceable processes and sustainable data management.
Because only those who are digitally organised can work efficiently, securely and sustainably.
💡Our recommendation: Take time once a year to thoroughly check your digital environment - for example during Digital Sweep Week.
Checklist: Your digital sweeping week with SaaS.de
We have started our own "digital sweep week" again this year - and invite all customers to take part:
- Delete old data
- Remove outdated or duplicate files
-
Check which data is actually still needed
-
Observe retention periods and the right to erasure (GDPR Art. 17) If anything is unclear, it is advisable to contact the data protection officer to clarify which information has which legal retention period
-
Ensure that deletion processes are documented and that data is removed permanently, i.e. not recoverable
- Manage user and role rights
- Check whether former employees' access is deactivated
- Check authorisations regularly and adjust roles to current responsibilities
- Ensure that only authorised persons have access to sensitive areas
- Analyse licences & usage
-
Do you have fewer employees this year? Then check your licences - you may be able to reduce costs
-
Only order what you really use - whether it's time recording, holiday management, shift planning or a booking system for halls
-
Check the utilisation of your booking systems:
-
Which halls or rooms are frequently booked?
-
Where are all options needed?
-
And where can you reduce functions to save costs?
-
💡 O ur tip: Create a comparison list to see which modules are used regularly. This way, you only pay for what you really need - fairly, transparently and according to your needs.
-
- Clean up apps & interfaces
- Remove old test connections or inactive integrations
- Check interfaces to other systems regularly
- A clear system landscape increases stability and reduces security risks
- Check backups regularly
- Check whether automatic backups are performed correctly
- Regularly test the restoration of data to ensure that backups work in the event of an emergency
- Store critical backups in encrypted form in different, physically separate locations - e.g. in cloud systems that are operated in different fire compartments or data centres. This ensures that your data remains secure even in the event of fire or other local failures.
- Update passwords & security
- Change your passwords regularly and activate two-factor authentication
- Train employees regularly in the secure handling of data and IT systems
- Security starts with user behaviour - regular awareness-raising is the best protection
