The ‘Digital Kehrwoche’ is an initiative of the State of Baden-Württemberg

It helps companies to establish digital order, improve data security and build sustainable structures for the long term.
As a cloud solution from EGOTEC AG, SaaS.de puts the objectives of this initiative into practice – with a focus on security, efficiency and sustainable data management.

Why digital organisation and data security are so important

Outdated files, duplicate records and unused access rights are more than just dead weight: they create potential security vulnerabilities and slow down processes.
Digital organisation, on the other hand, ensures transparency, protects sensitive information and improves system performance.

Data protection and data security are at the heart of this. SaaS.de meets the requirements of ISO 27001 certification – which means verified information security, traceable processes and sustainable data management.
After all, only those with a digitally organised environment can work efficiently, securely and in a future-proof manner.

💡 Our recommendation: Set aside some time once a year to thoroughly review your digital environment – for example, during the ‘Digital Kehrwoche’.

Checklist: Your digital ‘Kehrwoche’ with SaaS.de

We’ve launched our own ‘digital Kehrwoche’ again this year – and we invite all our customers to take part:

  1. Delete old data
    • Remove outdated or duplicate files
    • Check which data is actually still required

    • Observe retention periods and the right to erasure (GDPR Art. 17). If in doubt, it is advisable to contact the data protection officer(s) to clarify which information is subject to which statutory retention periods

    • Ensure that deletion processes are documented and that data is permanently removed, i.e. so that it cannot be recovered

  2. Manage user and role permissions
    • Check that former employees’ access rights have been deactivated
    • Regularly review authorisations and adapt roles to reflect current responsibilities
    • Ensure that only authorised persons have access to sensitive areas

  3. Analyse licences and usage
    • Do you have fewer staff this year? If so, review your licences – you may be able to reduce costs

    • Only order what you actually use – whether it’s time tracking, holiday management, shift planning or a booking system for halls

    • Check how your booking systems are being used:

      • Which halls or rooms are frequently booked?

      • Where are all the options needed?

      • And where can you cut back on features to save money?

💡 Our tip: Create a comparison list to see which modules are used regularly. That way, you only pay for what you really need – fair, transparent and tailored to your needs.

  4. Tidy up your apps and interfaces
    • Remove old test connections or inactive integrations
    • Check interfaces with other systems regularly
    • A clear system landscape increases stability and reduces security risks

  5. Check backups regularly
    • Check that automatic backups are running correctly
    • Test data recovery regularly to ensure that backups work in an emergency
    • Store critical backups in encrypted form at different, physically separate locations – for example, in cloud systems operated in different fire compartments or data centres. This ensures your data remains secure even in the event of fires or other local failures.

  6. Update passwords & security
    • Change your passwords regularly and enable two-factor authentication
    • Provide regular training for staff on the secure handling of data and IT systems
    • Security starts with user behaviour – regular awareness-raising is the best form of protection

Our conclusion: Digital organisation is a form of sustainable responsibility

Regular digital tidying not only creates structure, but also strengthens a company’s future viability.
Those who keep their systems tidy work more efficiently, sustainably and in compliance with the law.
